An event has lot of aspects to manage such as design, selling and execution. Certain activities are required for managing events and marketing them. Certain steps need to be followed that can be called the five C’s of events. These Cs basically provide an idea how an event is to be created for the client, sold and finally executed.

To understand the elements with a clear perspective, here under are the details: –

#1: Conceptualization

Any event has to go with a concept which must be aligned with the objective of the event. It is the involvement of the creative idea and the ambiance. Concept of the event becomes the basis to develop ‘creative proposal’ and ‘costing proposal’. When event manager is to develop some great ideas for an event, he must gather his team for a brainstorming session and see what can be different possible ideas. Brainstorming session must go without any criticism of any idea. Later, depending upon the feasibility, practicality and budget we can select the best suited one.



#2: Costing

Costing is integral and vital part for any event. This is the exercise where the money for event organizer lies. This involves calculation of the cost of production and safety margins on the event. Since this is a part of the planning process, therefore, must be dealt with care. On the basis of concept prepared, event cost is to be calculated. This must include all the related aspects such as material cost, labor cost, transportation cost, printing cost, marketing expenses and list continues.

#3: Canvassing

Once the concept and costing is done, be ready to present it to the client. This involves canvassing for clients, sponsors, customers/ audience and networking. Good canvassing or presentation can fetch money for the event organizer. To understand and deliver better, event organizer must put himself in the shoe of client and evaluate the proposal.

Canvassing should be done in such a way that client should be able to visualize and understand the look and feel of the event. Pictorial view of data, 3D stage design, layout of venue; help in making the better presentation. As an event organizer one can visualize and understand the event, but client always would like to see and understand the feel of the event.


#4: Customization

Each event has its own objective to achieve. In order to ensure that it meets its objective profitable, an event may need a certain level of customization. Customization refers to making the event in such a way as customer wants in order to meet customers’ requirement. Customization of the concept may take place at planning or may be at execution level too. Depending on the customers’ needs and marketing objectives, customization of the concept is required.

#5: Carrying-Out

Finally, the most import part of event designing is the actual execution of the event according to the final concept. In event management industry it is referred as ‘event production’ too. Whatever plan is approved by your client along with the budget, it must be executed in the same manner.

Timing plays a very vital role here. A detailed planning for execution can lead to a successful completion of the event. Coordinating with vendors and sub contractors is also one of the major ingredients of event execution. This phase is where your dream and plan related to the event takes a real shape.
